Guests, Companies, and Events¶
Guest profiles¶
Search Guests before creating a new profile. Confirm identity using the property's approved document and privacy policy. Keep name, birth date, gender, identification, phone, email, country, and address accurate.
Use Existing Guest during reservation or walk-in when a matching profile is found. Never merge or overwrite two different people merely because their names are similar. Limit sensitive details to what the property is authorized to keep.
Companies¶
Companies support corporate stays and billing. Before creating one, search by name and tax number. Record the approved company name, TIN, phone, email, country, city, and billing details. Attach a stay to a company only when the booking or billing instruction supports it.
Business sources¶
The business source explains where the booking originated, such as direct, corporate, agent, or an approved channel. Select it consistently because source reports and commercial decisions depend on it.
Booking and events¶
- Open Booking & Events and review the calendar for the required dates.
- Select New Event.
- Confirm the venue or resource is available.
- Record the event name, customer/contact, dates and times, expected guests, approved rate or charges, and operational notes.
- Review conflicts, setup needs, payment terms, and handover requirements.
- Save once and confirm the event on the calendar.
Room reservations and event bookings are different records. Create both only when the customer requires both accommodation and an event space.
Channel reservations¶
Use Channel Reservations to review bookings received from configured online providers. Confirm guest, dates, rooms, rate, payment terms, status, and any provider reference before processing. Channel room mappings, pricing, availability, and synchronization are configuration responsibilities; change them only with provider-specific authorization and training.
