Booking Views, Direct Bookings, Channels, and Rate Plans

Choose the right view

Use Standard View for check-in, in-house service, checkout, and room status. Use Booking View when the question is “What can we sell on these dates?” or “Where is this booking on the calendar?”

Use Booking View

  1. Open Booking View.
  2. Choose Occupancy & Res. or Booking.
  3. Enter the start and end dates, then select Go.
  4. Read the room or room-type row and the correct date column together.
  5. Select an existing booking block to review it. Select an available cell in Booking mode only when you intend to create a direct booking.

Availability is a planning control, not proof that a particular room is clean and ready. Confirm room status before arrival and check-in.

Create a direct booking

A direct booking reserves a number of rooms from one room type for a date range. It does not yet assign a particular numbered room or create a complete guest stay.

  1. In Booking View, choose Booking.
  2. Set the required date range and select Go.
  3. Select the available cell for the required room type and starting date.
  4. Enter Customer Name, From Date, To Date, Room Type, Number of Rooms, Rate, and a useful Comment.
  5. Recheck the dates, room quantity, rate, and customer name.
  6. Save once and confirm that the booking appears on the calendar.

Open the booking to view or edit it. Use Cancel Booking only when the booking is genuinely cancelled and you are authorized. A cancelled direct booking cannot be edited.

Before arrival, follow the property's handover process to create or confirm the named guest reservation, assign an available room, and complete the usual arrival checks.

Understand the booking sources

  • Direct Booking: entered by staff as a room-type and quantity hold.
  • Channel Reservation: received through a connected booking channel.
  • Website Booking: submitted through the property's website and waiting for the property to reserve a room or reject the request.
  • Front Desk Reservation: the guest and room record used for arrival, check-in, stay management, billing, and checkout.

Do not create a second reservation when the booking already exists through a channel or the website.

Process a channel reservation

  1. Open Channel Reservations and locate the booking by guest, dates, channel, reservation code, or channel reference.
  2. Open it and verify the guest, arrival, departure, room requirements, booking value, currency, and channel status.
  3. Choose the property's approved action: Convert to create Front Desk reservation records, or Refuse only for an approved reason.
  4. During conversion, assign an available room for every booked room.
  5. Review the original channel amount and converted local amount. Change a nightly rate only with authorization.
  6. Select the package, payment method, rate type, and business source.
  7. Review the confirmation page, then complete the conversion once.
  8. Find the resulting Front Desk reservation and verify all details.

If a room type is not mapped or no suitable room is available, stop and ask the authorized channel or reservations user to resolve it. Do not assign an unsuitable room merely to clear the booking.

Process a website booking

  1. Open Website Bookings and open the request.
  2. Verify guest contact details, dates, room type, adults and children, nightly rate, extra-guest charge, total, currency, and notes.
  3. To accept it, choose Reserve Room, select one available room, review the converted nightly rate, and create the reservation.
  4. Record the confirmation code and open the new reservation to verify it.
  5. To reject it, enter a clear guest-facing reason and confirm only after approval. Rejection cannot be undone.

Manage channel room mappings

Room mappings tell each connected channel which OTO room type it represents. Only trained, authorized users should change them.

  1. Open Channel Room Mappings.
  2. Match the channel property and external room type to the correct OTO room type.
  3. Compare capacity, description, and selling arrangement before saving.
  4. Save one mapping at a time.
  5. Check availability, pricing, and Sync Logs after the change.

A wrong mapping can sell the wrong room type. Never guess from a similar name.

Manage rate plans

Rate Plans contain the approved selling prices used across dates and room types. The property's selling currency and room types must already be set up.

Set day prices

  1. Open Rate Plans → Day prices.
  2. Set the start and end dates and select Go.
  3. Review the room-type and date grid.
  4. Change individual day cells, or use Set Price from the required date for an approved bulk change.
  5. Select Save Changes once, then refresh and verify the result.

Set room-rate controls

In Room rates, maintain:

  • Default rate: used when no day-specific price exists.
  • Minimum rate: the lowest permitted price.
  • Maximum rate: the highest permitted price.

Save and verify each room-type row. Check that the default lies within the approved minimum and maximum.

In Channel links, add or edit the correct channel and external plan. The price adjustment may be none, a fixed amount per night, or a percentage. Review the enabled status, adjustment, and last synchronization result.

Disabling or removing a link stops future updates from OTO. Confirm with the channel that any prices already published there have also been handled.

Manage channel prices and availability

  • Channel Pricing: review the date range and room grid, enter approved prices, save, then refresh to confirm.
  • Channel Availability: review sellable quantities, use Set in Bulk only for an approved range, save, then refresh to confirm.
  • Sync Logs: check the type, status, details, time, user, and error column after a mapping, price, or availability change.

Always compare OTO with the connected channel after an important change. If the result does not agree, stop further edits and escalate with the booking dates, room type, channel, and synchronization details.
